Title: Child and Youth Program Assistant
Reports to: Manager, Patient Programs and Evaluation
Type: Full-Time, Permanent

ROLE IMPACT

This is a meaningful role where you can make a difference every day for people living with inflammatory bowel diseases (IDB). You will achieve impact by:

  • Supporting the administrative activities of programs offered from Crohn’s and Colitis Canada including, Camp Got2Go and the IBD Scholarship.
  • Acting as the point of contact for campers, students, families and camp partners to ensure smooth delivery of programs;
  • Ensuring the program database is organize and monitoring data to further improve the efficacy of programs delivered;

QUALIFICATIONS

  • Completion of a post-secondary degree or diploma and/or equivalent experience in health sciences, child and youth, psychology, education, or other related discipline;
  • 2+ years of experience in supporting administration of programs or services. Non-profit experience an asset.
  • Experience working with diverse group of stakeholders from different backgrounds including staff, volunteers, and subject matter experts.
  • Excellent relationship building ability and strong communication skills; able to adapt communication style for various audiences;
  • Highly organized, detail oriented with strong analytical skill; able to work independently;
    Self-motivated, driven, problem solver and a team player;
  • Strong proficiency in MS Word, Excel and PowerPoint, 
  • Knowledge of virtual event platforms and video conferencing or webinar technology (e.g., Zoom);
  • Ability to analyze and track regional patient program metrics using various platforms such as
  • Google Analytics, social media, YouTube, Client Records Systems (CRM) and existing databases within Excel or other project management software (e.g., MS Project, SmartSheet);
  • Work flexible hours including evenings and the occasional weekends, when needed; and
    Successful completion of a criminal and credit background check.

RESPONSIBILITIES

  • Create and implement the scholarship application on our website and digital platforms;
  • Administer scholarship documentation for the review and selection process to the assigned internal and external reviewers;
  • Collaborate with the members of the finance team to administer the disbursement of scholarship funds to post-secondary institutions;
  • Work closely with the Manager of Patient Programs, Regional Patient Programs Specialist, and external partners to support the planning and administrative activities of our overnight camps (Camp Got2Go) that take place in the in Ontario, Alberta, and Nova Scotia;
  • Create, implement, and maintain the camper application and registration forms on our website and digital platforms;
  • Act as key point of contact for camp partners hosting CampGot2Go and respond to inquiries about camp as well as facilitate communication between camp staff and camper families;
  • Consolidate camper health and medical information for camp medical staff and volunteer nurses;
  • Identify camper travel requirements, and work closely with travel agents to organize air and ground transportation for campers and volunteers;
  • Provide administrative support such as organizing schedules, note-taking during meetings, follow-up calls, and overseeing program critical paths to help ensure smooth delivery programs; and
  • Monitor and report program revenue and costs to Manager of Patient Programs and Evaluation.
